Job Title: Payroll & Benefits Administrator

Location: Portland, OR

Salary Range: $80,000 to $90,000 base + 5% - 10% bonus

The Role:

Propeller is looking for a detail-oriented full-time Payroll & Benefits Administrator to join our Human Resources team. In this role, you'll be at the forefront of managing payroll operations and delivering top-notch employee benefits administration. Your expertise will be instrumental in collaborating across departments like HR, Finance, and Operations, as we aim to scale and support Propeller's business, clients, and most importantly, our employees.

You will:

Manage Payroll Operations

  • Oversee semi-monthly and off-cycle payroll operations, ensuring accuracy and timeliness through comprehensive management, analysis, and data entry.

  • Serve as the primary administrator for employee payroll records, managing status changes, deductions, tax treatments, and related tasks such as relocations and leave administration.

  • Coordinate 401(k) processing, including balancing employee deductions, employer contributions, and loan payments, to ensure seamless operations

  • Prepare and distribute monthly, quarterly, and year-end reports, ensuring compliance with state and federal wage and hour laws and facilitating audits and reporting requirements.

Administer Benefits

  • Manage employee benefits administration including enrollment, changes, terminations, and issue escalation, ensuring compliance and addressing employee inquiries.

  • Oversee the company's Benefits portal, maintaining accurate data, resolving technical issues, and providing user support while conducting periodic audits to ensure data integrity and reconciliation of benefit invoices.

Maintain Employee Records

  • Administer Propeller's HRIS, ensuring accurate employee records and conducting regular audits for completeness. Support onboarding and offboarding processes, including I-9 verification and packet preparation.

  • Manage employee background checks, maintain client audit files, and facilitate drug screenings as per client agreements. Provide HR policy guidance, ensure legal compliance, and maintain compensation records in HCM systems.

Must have:

  • A minimum of 5 years of experience processing payroll with a high degree of accuracy; previous experience in employee benefits administration

  • Strong understanding of federal, state, and local wage and hour laws, benefit laws, and payroll tax and deduction regulations

  • Ability to maintain a high level of confidentiality, controls, and data security

  • Proven ability to work independently, prioritize, and problem-solve

  • Strong written and verbal communication skills with a customer service focus

  • Demonstrated experience using excellent judgment, critical thinking, and decision-making skills to balance short-term benefits and long-term priorities

  • Proficiency with Microsoft Word and Excel

  • Associates degree with coursework in accounting or business

  • Flexibility to work outside normal business hours and travel within the US; hours may exceed 8 hours per day

  • Ability to demonstrate a legal right to work in the U.S.

Nice to have:

  • Payroll or benefits administration-related certifications or continuing education

  • Familiarity with Paycor, BambooHR, and/or Workday

  • Experience administering payroll for growing companies with a national or international presence

  • Bachelor's degree with coursework in accounting or business

The Specifics:

Compensation:We believe in fairly and equitably compensating our employees for their time and experience. We do that by offering a competitive salary, uncapped bonus eligibility, an employee stock ownership program, and many other benefits. Individual salaries are based on a variety of factors, including years of experience and specific skill sets. The base compensation range for this position is $80,000 to $90,000, plus a 5% - 10% bonus target, which is specific to the location for this job posting. Typically, individuals are not hired at the top of the range for their role; however, base pay ranges are reviewed and updated each year based on performance.

Location: We believe being physically present with each other and our clients strengthens our relationships, promotes creativity and innovation, and ultimately produces a stronger, more durable result for our clients and ourselves. Propeller employees work in a hybrid model, spending a portion of their week working from their local Propeller office and from their home. Applicants should currently live in Portland, or plan to relocate upon hire.
